How To Find Percentage in Excel: A Comprehensive Guide

If you’re a student tracking your grades, a financial analyst tracking budget variances, or a small business owner tracking profit margins, the ability to calculate percentage values is crucial. Fortunately, Excel makes the process a breeze, allowing you to complete it in a snap.

The Fundamental Logic of the Percentage Calculator in Excel

The first step to calculating percentages in Excel is to understand the logic behind the process. While many people might forget the formula for calculating percentages, the logic behind the process remains the same. Percentages are essentially a fraction of 100. Hence, to calculate a percentage, we divide the “part” by the “whole” and then multiply by 100.

The logic remains the same in Excel. However, the difference lies in the fact that we don’t necessarily have to multiply the answer by 100. By using the Percent Style button in the Home tab, we can easily convert the answer to a percentage. Enroll in our Excel training in Chennai.

How to Calculate Percentage: Basic Scenarios

1. Calculating Percentage of the Total

You have a sales table where you need to find the percentage contribution of each product to the total sales. The steps are as follows:

  • You want to find the percentage contribution of individual sales in column A2 with the total sales in column B2.
  • In cell C2, type = A2/B2.
  • Press Enter.
  • Select cell C2, go to the Home tab in the ribbon, and press the % (Percent Style) button.
  • The answer will be automatically displayed in percentage form.

Example:

Sl.NoProduct NameSales AmountPercentage Share
1Microphone50000.5
2Headphone30000.3
3Speaker20000.2
Total100001

2. Calculating Percentage Change (Increase or Decrease)

In business operations, tracking the increase or decrease in sales is a daily activity. To find the percentage change between two values, such as the current month’s sales compared with the previous month’s sales:

Formula: (New Value – Old Value)/Old Value.

  • Last month’s sales were recorded as 500 in cell A2. This month’s sales were recorded as 600 in cell B2. You need to find the percentage change in cell C2.
    • The formula is =(B2-A2)/A2.
  • The answer will be displayed in percentage form when you press the % (Percent Style) button.

Example:

Sl/NoLast Month’s SalesThis Month’s SalesPercentage Change
15006000.2
2800650-0.08333333333

Practical Application: Marksheet Percentage Formula in Excel

If you are an educator or a student, then creating a results dashboard is a very common requirement. Understanding the marksheet percentage formula in Excel can save you hours of work.

Let’s consider that we have student results in various subjects in columns B, C, and D.

  • Calculate Total Marks: In cell E2, we can write the formula as =SUM(B2:D2).
  • Calculate Percentage: In cell F2, we can write the formula as =(E2/Maximum_Total_Marks).
  • Example: If we consider the maximum marks for three subjects as 300, then we can write the formula as E2/300.

By dragging this formula down, we can create an automated percentage calculator in Excel for all students.

Pro-Tips for Advanced Users

  • Absolute References ($): If your total is a fixed number, such as a tax rate or a total marks value for the class, then you will have to use absolute cell references. If your total value is in cell B10, your formula for the second row will look like =A2/$B$10. Notice the dollar signs. These will keep the cell reference locked in place when we copy the formula down the column.
  • Precision: If you need to see the decimal points for precision, you will be able to change the number of decimal places by using the Increase Decimal or Decrease Decimal buttons on the Home tab, just to the left of the Percent Style icon. Conclusion

Though the above basic requirements cover 80% of the daily requirements, professional data analysis requires more advanced features, such as the use of IF statements to classify the performance (Pass or Fail based on percentage, etc.). Similarly, the use of Pivot Tables to automatically calculate the percentages.

If you wish to go beyond the basic requirements of data entry and wish to become a power user, training makes a big difference. Softlogic Systems in Chennai offers specialized training on using Excel to build professional-grade dashboards and reporting tools.
